Where an activity requires information relevant to participant safety or suitability, we may ask you to complete a separate medical, health, suitability or consent form.

Information collected for this purpose will be limited, as far as reasonably practicable, to information relevant to the safe delivery of the activity.

Access to this information will be limited to people who reasonably need it for the administration or safe facilitation of the activity.

Participation in an experiential component may also be subject to separate information and consent requirements.

This may include:

  • contact details;

Where required, users will be provided with options concerning non-essential cookies.

You can also control cookies through your browser settings. Disabling cookies may affect the operation of some website functions.

Third-party website services may collect information in accordance with their own privacy policies.

You can unsubscribe from marketing communications at any time by:

  • using the unsubscribe facility included in an email; or

Unsubscribing from marketing communications will not prevent us from sending administrative communications relating to a service, training program, workshop or event for which you are currently registered.

We do not use sensitive or health information for direct marketing without appropriate consent.

We do not sell personal information to third parties.

  1. Overseas storage and disclosure

Some of the technology and service providers used by IIPT may store, process or provide access to information from locations outside Australia.

For example, cloud computing, online forms, videoconferencing, website hosting, email, learning platforms or payment services may use infrastructure located overseas.

Where personal information is disclosed to an overseas recipient, we will take reasonable steps as required by Australian privacy law to ensure that the information is handled appropriately.

The countries in which information may be processed or accessed can change depending on the providers and systems being used. Where it is practicable to identify the countries to which personal information is likely to be disclosed, this information will be provided at or before the time of collection or can be requested from IIPT.

Where particularly sensitive or health information is involved, we will consider the nature of the information and the relevant service provider when determining how that information should be collected, stored or disclosed.

  1. Security of personal information

We take reasonable steps to protect personal information from:

  • misuse;
  • interference;
  • loss;
  • unauthorised access;
  • unauthorised modification; and
  • unauthorised disclosure.

Measures may include:

  • password-protected systems and accounts;
  • access controls;
  • secure cloud services;
  • encryption where appropriate;
  • restricted access to sensitive information;
  • confidentiality requirements;
  • secure payment processing;
  • system and software security measures; and
  • procedures for responding to suspected privacy or security incidents.

Access to personal information is limited to people who reasonably require access for their work or responsibilities.

No internet transmission or electronic storage system can be guaranteed to be completely secure. However, we take reasonable steps appropriate to the nature of the information we hold and the risks associated with it.

  1. Data breaches

IIPT maintains procedures for responding to actual or suspected data breaches.

Where a suspected breach occurs, we will assess the circumstances and take reasonable steps to contain and address the breach.

Where a breach meets the requirements of the Notifiable Data Breaches scheme under the Privacy Act, we will notify affected individuals and the Office of the Australian Information Commissioner as required by law.

  1. How long we keep personal information

We retain personal information only for as long as it is reasonably required for the purpose for which it was collected, or as required by applicable legal, financial, contractual, professional, insurance or regulatory obligations.

Different types of information may be retained for different periods.

For example, this may include:

  • financial and transaction records;
  • training and attendance records;
  • continuing professional development records;
  • supervision administration records;
  • workshop registrations;
  • consent and health or suitability information;
  • professional development tour information; and
  • mailing-list information.

Health or suitability information will not ordinarily be retained longer than reasonably required for the purpose for which it was collected, subject to applicable record-keeping requirements.

When personal information is no longer required and we are not legally required to retain it, we will take reasonable steps to destroy it securely or de-identify it.

Unsubscribing from marketing communications does not necessarily require IIPT to delete information that must be retained for another lawful purpose, such as financial or training records.

  1. Accessing and correcting your personal information

You may request access to personal information that we hold about you.

You may also ask us to correct personal information if you believe it is inaccurate, out of date, incomplete, irrelevant or misleading.

To request access or correction, please contact us using the details at the end of this Privacy Policy.

We may need to confirm your identity before providing access to personal information.

There may be limited circumstances in which access can be refused under applicable law. If we refuse an access or correction request, we will generally provide an explanation where required to do so.

We will respond to requests within a reasonable period.

  1. Anonymity and pseudonyms

Where it is lawful and practicable, you may interact with IIPT anonymously or by using a pseudonym.

However, for many of our activities we need to know your identity.

This may include circumstances involving:

  • enrolment or registration;
  • payment;
  • supervision;
  • training records;
  • certificates;
  • continuing professional development records;
  • professional registration requirements;
  • travel arrangements; or
  • health and safety information.
  1. Automated decision-making

IIPT does not currently use automated systems to make decisions, or substantially and directly contribute to decisions, using personal information where those decisions could reasonably be expected to significantly affect an individual's rights or interests.

Technology may be used to assist with routine administrative functions such as registrations, email communications, payment processing, website functionality and management of training records.

These routine administrative processes are not intended to replace human decision-making in matters that could significantly affect an individual.

If IIPT introduces automated systems of a kind requiring disclosure under Australian privacy law, this Privacy Policy will be updated to explain:

  • the types of personal information used by those systems;
  • the types of decisions made or substantially informed by those systems; and
  • any other information required by applicable privacy law.
  1. Artificial intelligence and third-party technology

IIPT may from time to time use technology tools to assist with administrative, educational or business functions.

Where personal information is entered into or processed using third-party technology, including artificial intelligence-enabled systems, IIPT will consider the privacy, confidentiality and security implications of doing so and will seek to minimise the personal information provided.

Sensitive, health or confidential information will not be entered into third-party artificial intelligence systems unless its use is considered appropriate, permitted by law and subject to suitable privacy and security protections.

Where information can reasonably be de-identified before being used for an administrative or analytical purpose, we will seek to do so.

  1. Children and young people

IIPT's training, supervision and professional development services are primarily intended for adults.

If we need to collect personal information about a child or young person, we will take reasonable steps appropriate to the circumstances to ensure that any required consent is obtained and that the information is handled appropriately.

  1. Privacy complaints

If you have concerns about how IIPT has handled your personal information, we encourage you to contact us.

Please provide sufficient information for us to understand and investigate your concern.

We will acknowledge and consider privacy complaints within a reasonable period and may contact you if further information is required.

We will seek to resolve complaints fairly and appropriately.

If you are not satisfied with our response, you may be able to make a complaint to the:

Office of the Australian Information Commissioner (OAIC)

Website: www.oaic.gov.au

Information about making a privacy complaint is available on the OAIC website.

  1. Privacy laws outside Australia

IIPT is based in Australia and this Privacy Policy is principally based on Australian privacy law.

If IIPT's activities in relation to an individual are subject to privacy or data protection legislation in another jurisdiction, including the European Union General Data Protection Regulation (EU GDPR) or United Kingdom GDPR, we will comply with any additional legal obligations that apply to those activities.

  1. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect:

  • changes in our services;
  • changes in technology;
  • changes in the way we manage personal information; or
  • changes in legal or regulatory requirements.
